Job Descriptions

JOB TITLE: Creditors’ Clerk

REPORTING TO: Credit supervisor

DEPARTMENT: Finance

ADDITIONAL INFO:

  • 6 Month Contract, full time.
  • Located in Johannesburg, although primarily working remotely.

PURPOSE OF POSITION

To deliver excellent performance within the creditors’ team:

  • Ensure that creditors’ invoices and staff expenses are processed accurately and on time
  • Support the business, resolve open issues, and maintain controls

KEY RESPONSIBILITIES

This is a varied role in a fast-moving global organisation. Responsibilities and priorities are likely to evolve, but the following are key to the role:

Invoice capture and reconciliation

  • Daily capturing of invoices and expense claims into the ERP system
  • Reconciling creditors statements
  • Following up on outstanding items to ensure all invoices are captured on time

Payments

  • Loading new bank beneficiaries on banking platforms
  • Preparation and payment of foreign payments
  • Daily capturing of payments

Accounting

  • Ensuring that any invoices not captured at month end are accrued for
  • Processing of journals
  • Expense accruals

Other

  • Ensure that filing and record keeping is up to date
  • Drive continuous process improvement
  • Assist in other administrative and accounting work as requested

DELEGATION OF AUTHORITY

  • As per Board-approved DOA and as necessary for functions outside the DOA
  • As delegated by the Managing Director, when necessary

POSITION RELATIONSHIPS

Internal

  • Other finance team members
  • Procurement team members
  • All other personnel as required

External

  • Suppliers, Distributers and Contractors

MEASURES OF PERFORMANCE (INDICATORS)

Leading Indicators

  • Backlog of unprocessed invoices
  • Completion of key supplier statement reconciliations

Lagging Indicators

  • Numbers of escalations and late payments
  • DPO (Days Payable Outstanding)

PERSONAL QUALIFICATIONS & EXPERIENCE:

Education/achievements:

  • Matric with Maths and Accounting
  • Post-matric qualification in Accounting would be an advantage

Experience/Knowledge:

  • Minimum 3 years’ creditors’ or similar experience

Specific Skills:

  • Strong communication and interpersonal skills
  • Driven, motivated and result orientated
  • Excellent organisation and time management

  • Desire to learn and develop
