- Support all Business Units in MAF KSA HO as per the assignment given by Line Manager.
- Provide support to MAF guests as required and assigned by Line Manager.
- Handling travel itineraries and hotel arrangements of the Functional Leader, Directors, Senior Managers and Managers.
- Handle incoming calls, screening wherever necessary, and redirecting accordingly
- Develop an accurate filing in SharePoint and Aconex system for the functional Team and perform filing on an ongoing basis.
- Organize official internal and external meetings/business appointments for Functional Leader, Directors and Senior Managers.
- Organize Calendar /Diary of the Senior Director & coordinate department related meetings.
- Help liaise and coordinate communication between Suppliers/Agencies and other Departments.
- Organize and handle departmental dispatch & receipts, coordinating with identified domestic and international courier services.
- Coordinate with assigned Functional Team to ensure smooth functional operation at all times
- Organize interviews for new recruits and arrange travel arrangements.
- Other tasks that given by superior from time to time.
Other Duties:
- Process Job Legal Request – Contract Agreements /PM, Letters, Payment Certificates, I.T Request, etc.
- Process Purchase Requisition, I-Expense Report, Business Mobile Statement-maintain accurate records of Functional Team expenditures in oracle system and liaise with procurement / finance
- Ensure protocol & MAFP rules are implemented based on the guidance
Line manager can assign additional work as required by business needs.
Minimum Qualifications/education
- Ideally must be graduate or a senior secondary
Minimum Experience:
A total of 3-4 years of relevant experience with Shopping center/ Retail/ Hospitality/ Communities/ Projects industries.
