Logistics Specialist, to be established in\u00a0<\/i><b><i>Johannesburg, South Africa<\/i><\/b><i>.<\/i><\/p>\n<p><b>Purpose<\/b><br \/>\nThe main purpose of this position is to provide Order &amp; Logistics for distributors, customers and sales team for Xylem Africa<\/p>\n<p><b>DUTIES &amp; RESPONSIBILITIES:<\/b><\/p>\n<p><b>Check Stock availability<\/b><\/p>\n<p>Checking of stock on the system (Iscala, SAP, ATP &amp; IDMS)<br \/>\nChecking of stock (physical) with the stores department<br \/>\nOrder taking into Iscala\/SAP<br \/>\nReceive purchase order from customer in writing<br \/>\nCheck customer order against quote<br \/>\nOnce the quote matches an order is loaded on the system<br \/>\nIf not, check with Sales\/Sales support and customer<\/p>\n<p><b>Order follow ups with procurement and suppliers<\/b><\/p>\n<p>Check on Iscala for updated Estimated time of arrival(ETA)<br \/>\nIf no ETA, follow up with procurement<br \/>\nUpdate order status on the system (Red, Yellow, Green)<br \/>\nUpdate delivery dates on the system<br \/>\nDrop shipments, follow up directly with the factory &amp; copy procurement<br \/>\nIn cases where lead times are different from what was on the quote, negotiate with factory to try and get a better lead time<br \/>\nConduct weekly back order checks to ensure orders are still on track<\/p>\n<p><b>Documentation Preparation \u2013 Commercial Invoices etc.<\/b><\/p>\n<p>Ensure all exports documents are in place:<\/p>\n<ul>\n<li>Commercial Invoice<\/li>\n<li>Packing List<\/li>\n<li>Box 28<\/li>\n<li>Shipping Instruction<\/li>\n<li>Release picking ticket<\/li>\n<\/ul>\n<p>Ensure all local documents are in place:<br \/>\nRelease picking ticket<br \/>\nCoordinate Inspections and tests with customers (Export)<br \/>\nEnsure that applicable inspections are conducted on time (ITPs, BVAC inspections, Witness tests, Intertek inspections etc.)<\/p>\n<p><b>Customer Feedback<\/b><br \/>\nSend order confirmation to customer once the order has been loaded<br \/>\nSend final ETA to the customer on time<br \/>\nShould there be any delays or changes in the order, notify the customer on time<br \/>\nAs soon as the order is ready, notify customer or arrange delivery<\/p>\n<p><b>Ensure Perfect Order<\/b><br \/>\nAdequate stock<br \/>\nIf no stock arrange for airfreight<\/p>\n<p><b><i>Item Entry<\/i><\/b><br \/>\nComplete documentation for new part number to be loaded on Iscala<br \/>\nNo account issues<br \/>\nDocumentation and Logistics in place<br \/>\nIncoterms agreed on<\/p>\n<p><b><i>Issue Credit Notes<\/i><\/b><br \/>\nComplete credit register to get credit number<br \/>\nComplete credit form<br \/>\nIssue credit form to stores department for pink slip (Goods return slip)<br \/>\nOnce pink slip has been received from stores, attach to credit form and original invoice<br \/>\nSubmit all documents for authorization<br \/>\nOnce authorization has been given, submit to credit controller for processing<\/p>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div>\n<div><b>Minimum Qualifications and Experience<\/b><\/p>\n<p>National Diploma in Logistics\/Supply Chain Management or equivalent qualification<br \/>\n3-5 years\u2019 experience in Order and Logistics<br \/>\nExperience in Water Technology &amp;
