Admin, Office & Support, Gauteng JHB – Eastern Suburbs

Our client in the mining industry, has a vacancy for an executive level Personal Assistant. Managing the day to day secretarial and administrative responsibilities for the MD and FD as well ad hoc duties for the HOD’s. Relevant experience, ideally in the same or similar industry is required.

Manage the efficient functioning of the office through a wide range of administrative tasks. Ensure tasks are completed on a day-to-day basis.

Efficient, accurate and timely output of typing, data capturing, copy typing and filing.

Effective inter-departmental communication.

Effective telephone answering and delivery of messages.

General office administration and housekeeping.

Management of electronic diaries.

Liaison with inter departmental and outside customers.

Performance ad-hoc tasks given by Managing Director and Financial Director and HOD’s.

Organizing of Venues and co-ordinate functions ie Woman’s Day, Year-end Functions, Health & Safety LTI free, Conferences.

Production reports daily.

Compile presentations.

Support the needs of HOD team.

Coordinates site visits.

Arrange and Coordinate travel plans and reservations.

Update weekly/monthly business review reports.

Update relevant documents for monthly management meetings.

Administrator for company cell phones.

Manage the Receptionist, Driver and Contract Cleaners.

Maintain internal phone lists/distribution lists and ensure recorded in the phone system

Action all fax/fax orders, directing to the relevant person/department as required for action.

Maintain and purchase refreshments and supplies for the site, as required.
