Job Description

Main Purpose of the Job

Pam Golding Properties (Pty) Ltd is looking for a Rental Administrator who is self-motivated, independent and mature to accurately administrate all rental documentation, payments and tenant placing of each property in accordance with the South Africa legislation for all landlords in order to provide a premium service to all our clients based on our vast knowledge of the property market and great insight of the needs of our clients.

Key Responsibilities

• Check bank statements every morning and allocate funds. • Allocate foreign funds. • Unallocated funds to CT. • TPN checks. • Type out Input forms, leases, invoices and statements for agents. • Typing out annexures to lease agreements. • Type out Renewal extensions, input forms and invoices for landlords. • Assist agents with enquiries. • Assist Rental Manager with inquiries. • Forward all new leases with relevant documentations to CT. • Forward all renewal extension to CT. • Capture new leases on the New Data Base. • Capture new leases on the Weekly Minutes. • Open files for all new leases. • Welcome letters to Landlords and Tenants. • Allocated – No docs for CT. • Assist agents on Alchemy. • Following up on Fica. • Following up on arrear commission. • Following up on extensions and commission thereon. • Assist with ‘no document’ queries. • Assisting with maintenance when maintenance administrator is not available. • Assisting with an overflow of managed properties.

Key Competencies

• Able to work independently without any supervision • Is motivated with meeting deadlines and targets • Ability to work well under pressure with minimal errors • Computer literate • Able to communicate with individuals at all levels • Able to take direction from team and manager with a high level of accuracy. • Professional organized and energetic • Responsible and reliable with high level of integrity

Education & Experience

• Matric / Grade 12 • Diploma or degree in finance or accounting preferred – Minimum 2-3 years working experience in a Rental Administration in particular doing reconciliations and reporting

Knowledge & Skills Required

• Knowledge of the FICA, in relation to leasing of Properties. • Knowledge of property industry specifically working with managed properties • Good financial acumen on what calculations need to be prepared to complete such agreements and their management.
